SYSTEM MANAGEMENT - SYSTEM LOGS

Location

System Manager - User Management – View/Spool /Delete System Log.

Purpose

The main system log keeps a check on the use of the CS/3 users. Each time a user carries out an important procedure, an entry is made in the system log. The entry includes the identity of the user, as well as the program used.

A separate system log can be created for the individual user if the Own System Log field is flagged y in the User Management program.

System Logs need to be deleted (or archived) at regular intervals, probably at the end of each accounting period, and it is suggested not greater than every 3 months.

Access to the System Log is determined by the user name. Users with manager status have access to the main System Log, as well as to all individual users System Logs.

Displaying Information held in the System Log – when first selecting this option, the system displays the contents of either the login users System Log, or (the main System Log if the login user does not have their own system log).

Providing you have System Manager Status, you can look at the System Log of another user. Select Exit, enter either the User Name, or browse to select the user. To look at the main system log enter system as the User Name.

A search facility is available for any particular value (e.g. a user, customer, posting code, etc.), providing that the value is entered exactly as it appears in the System Log.

WARNING – CS/3 is case sensitive!

To browse enter the exact value to be searched for. It will find the first occurrence of the value. Repeat the browse until you find the details you require.

NOTE – The F2/F3 search facility only goes down the document and it is advisable to press F3 for first page before commencing a search.

For those with GUI Interfaces.

To find a string, right click, select Find, enter the value and nominate the direction the search is to take.

To move up and down the System Log, right click, select Goto Page and enter the page number. Or enter +/-n, where n is the number of pages to go backwards or forwards relative to the current page.

Deleting the System Log.

If the contents of the System Log is displayed, select Exit. This takes you to the screen where the User Name is highlighted. Select the System Log that you wish to delete and select Delete. Select Delete again to confirm the deletion.

HINT – it may be wise to take a print or invoke your backup procedure prior to deleting System Logs.

If your System Log is left to keep growing, it takes longer to search through it and it will slow down your system. It will also take up valuable space on your Hard Disk.
